What is LabBoard

LabBoard is a web based sample management and client contact management system, designed for core facilities and small service labs based at academic institutions.

LabBoard is made up of two workspaces, Samples and Billing. You select each workspace by clicking on the Samples or Billing links at the very top of the screen. The header will appear blue while you are working in the Samples workspace and purple while you are in the Billing workspace.

Samples Workspace

Within the Samples workspace there are 7 tabs: LabBoard, Samples, Batches, Clients, Analytics, Staff and Services.

  1. LabBoard Tab
  2. Samples Dashboard
    The LabBoard tab or ‘dashboard’ is the jumping off point for the application. The LabBoard tab provides a high level view of the items requiring attention and recent activity in the lab. While you are on the LabBoard tab, you can also control the kinds of notifications you receive regarding activity in your LabBoard account. You can turn on or turn off Daily Digest Email notifications and subscribe to an RSS feed of recent lab activity.

    Within the Samples tab, you will see a list of all of the samples in your system. In LabBoard, samples represent the service requests from your clients. If you are a sample analysis laboratory, clients can submit the name, type, concentration, etc. of the sample they would like analyzed. If you are a synthesis lab, a sample may be a request for synthesis, where the sample submission information contains the peptide or DNA sequence requested and other relevant information. LabBoard always automatically displays current samples when you click on the Samples tab, but through this tab, you also have access to completed samples, rejected samples and cancelled samples.

  5. Batches Tab

    Within the Batches tab, you will see a list of all of the batches in your system. A batch is one or more samples within one service type that will be processed at the same time. Batching samples makes pushing large groups of samples through your workflow more efficient. Similar to the Samples tab, within the Batches tab, you can see current, completed, rejected and cancelled batches. You also create a batch from within the Batches tab.

    Under the Clients tab, all of your clients/customers that have signed up to use LabBoard will be listed in alphabetical order. Clicking on a client name will take you to their detailed contact information and allow you to edit this information when necessary. You can also add clients from within a staff account through the Clients tab. Once added, the new client will receive an email with their username and a link to set their password to gain access to their LabBoard account for your lab.

    In the Analytics tab, you will find valuable information on your lab’s activity. Metrics such as sample load, service turnaround times and sample throughput can be viewed from the Analytics tab. Although information in the Analytics tab will be sparse when you first start to use LabBoard, the data available to you through this resource over time can become invaluable.

  11. Staff Tab

    The Staff tab provides a list to all of your lab’s staff that have a user account within your LabBoard account. You can add staff from within the Staff tab. Each staff account is color-coded, orange indicating a manager and blue indicating a staff, with restricted access.

  13. Services Tab

    The Services tab is where you create new services or edit existing services your lab offers. A LabBoard service is the type of sample processing a particular lab performs. For example, a service may be MALDI Mass Spectrometry or a specific type of DNA Sequencing. Although each service type may have different specifications such as template type and concentration or specific primer details, these can be collected from within a customizable sample submission form within a single "Service". When you add a new service, you will create a custom sample submission form for the service to collect the information you require to perform that service, create a custom receipt that will be sent to your clients when they submit a sample service request of this type with instructions for next steps; and choose a workflow that fits this service type.

Billing Workspace

The LabBoard Billing workspace, like the Samples workspace, is similarly made up of 6 tabs: LabBoard, Invoices, Pricing, Clients, Analytics and Setup.

  1. LabBoard Tab
  2. Billing Dashboard
    The LabBoard tab in the Billing workspace is a dashboard for the application. You will see a preview of recent billing related activity as well as an overview of the financial status of the lab’s sample processing activity.

  3. Invoices Tab
  4. Billing Invoices
    The Invoices tab will list each of the ‘orders’ submitted by your clients. Samples that were submitted together will be grouped into one invoice. At the end of your billing cycle, normally monthly, you will click the generate invoices link to export all of the invoice and billing information into an Excel or XML document for integration with your institution’s finance system.

    Under the pricing tab, you can set the pricing for each of the services your lab offers.

    The Clients tab provides a list of all of your clients, categorized into their billing rate plans.

  9. Analytics Tab

    As in the Samples workspace, the Analytics tab will provide valuable information on your lab’s financial activity. Metrics such as revenue, outstanding balances and adjustments can be viewed from the Analytics tab. Although information in the Analytics tab will be sparse when you first start to use LabBoard, the data available to you through this resource over time can become invaluable.

  11. Setup Tab
  12. Billing Setup
    Under the Setup tab, you will create the Rate Plans or categories within which to categorize your clients. You can create a number of Rate Plans to classify your clients into pricing groups such as ‘Internal’, ‘External’ or ‘Corporate’.

Client Workspace

With LabBoard, your clients can have a LabBoard account for your lab. This will allow them to submit their sample information to your lab and to receive sample results online, with no added effort from you.

When your clients log into LabBoard, they will see three tabs: LabBoard, Samples and Account.

    Similar to the Staff workspace, Clients have a LabBoard ‘dashboard’ when they log into their LabBoard account. This dashboard will show recent activity of their samples, indicating when samples have been submitted, received at the lab and when sample results or shipping information is available.

    In the Samples tab, clients will see a list of all of their samples. The list will show clients their sample name, LabBoard sample ID, sample type and the state of each sample, such as processing or completed.

  6. Client Account
    Within the Client’s Account tab, they can change their personal account information. Name changes, address, phone and email changes can all easily be made. Additionally, the Client can change their password from within the Account tab.
